Using Doxtor and managing clinic workflows.
Can we offer our own combinations of tests?
Yes. Build a panel once from the laboratory’s panels and biomarkers, give it your own name and a description patients read, and reuse it on every order. Doxtor shows what the panel comes to as you build it. With Doxtor Pro, patients can book it from the portal. See custom panels.
Can we use our own clinic branding?
Yes, on Doxtor Pro. Upload a logo and an icon and choose one colour, and patients see your brand on the patient portal, on reports and in the emails they receive. Pro clinics can also serve the portal from their own web address.
On Doxtor Free, reports and emails use Doxtor’s branding and name your clinic. Clinical colours, such as how a result outside the range is shown, never change with a clinic’s brand. See the plans compared.
How are tests paid for?
Your clinic is invoiced once a week for the orders whose results were reported that week, one line per order.
How does a clinic get started with Doxtor?
Doxtor sets up each clinic’s workspace itself. Get in touch with a few details about your clinic, and Doxtor creates the workspace at your clinic’s own address and emails the owner an invitation.
The owner accepts the invitation, chooses a password, and is taken through a short setup: their profile, two-factor authentication, the clinic’s details, inviting the team, a payment method for orders, and branding. The clinic setup guide walks through each step.

What does the clinic see when results arrive?
Results arrive from the laboratory straight onto the order and the patient’s record. Each biomarker is shown with its result, unit and reference range, where the result sits in that range, and the laboratory’s own flag. Each result is compared with the patient’s previous result for the same biomarker.
A result outside the range is marked with a label and a marker, never by colour alone. A test the laboratory could not perform is shown as not performed rather than left blank.
What happens if the laboratory corrects a result?
The laboratory’s correction is applied as it was sent. The report is updated as a new version, earlier versions are kept, and the patient is told the report has changed.
What happens when a result is critical?
When the laboratory reports a critical result, your team is emailed, and the result stays at the top of the clinic console until someone marks it as seen, with reminders if nobody has. The report itself is released as the laboratory sent it.
For patients

Can a parent or carer see a patient's results?
Yes, if the clinic gives them access. On Doxtor Pro, a clinic can give a parent, guardian or carer access to a patient in its patient portal, and decide whether they can also book tests for them. The clinic can take that access away at any time. See giving patients portal access.
Can patients book a test online?
Yes, where the clinic offers bookings in its patient portal, which is part of Doxtor Pro. The patient chooses a test and a free time, and answers any questions the clinic asks. The clinic reviews every request and confirms or declines it, and the patient is emailed either way. See setting up bookings.
Do patients need an account?
No. Every patient can open their results from a secure link that asks for their date of birth. With Doxtor Pro, patients can also have an account in your clinic’s patient portal.
How do I access my results?
When your results are ready, your clinic sends you a secure link by email or text message. To keep your results private, the link asks for the date of birth of the person the test was for. You can then read your results and download the report.
If your clinic offers a patient portal, you can also sign in to it with a code sent to your email, and see your results over time.
How do I stop re-test reminders?
Every re-test reminder email has a Stop these reminders link. It asks you to confirm, then stops reminders from that clinic. Your clinic can also stop and restart them for you.
How do patients contact their clinic?
The clinic’s contact details are shown with every patient’s results. On Doxtor Pro, patients can also write to the clinic from the patient portal, and the clinic replies there.
What does a result outside the range mean?
It means your result falls outside the reference range the laboratory reported for that test. Reference ranges are the laboratory’s own, and a result outside one is not a diagnosis.

Who can explain my results?
Please contact the clinic that arranged your test. Your clinic holds your results and can explain what they mean for you. Doxtor provides the software your clinic uses, and cannot change or explain your results.
Orders and testing
Creating orders, samples, barcodes and the laboratory.
Can we cancel an order?
Yes, from the order, until the laboratory has it, may have it, or the samples have been marked as sent. After that, the laboratory has to be told directly, because it may already be working on the samples.
How does Doxtor know which tubes to collect?
From the tests on the order. Doxtor groups the tests by the tube or container the laboratory needs, and shows one row for each: which kind, how many, and which tests it is for. Volumes are shown only where the laboratory has confirmed them.
If a test’s collection requirement is not known, Doxtor says so before anyone collects, and asks the team to check with the laboratory. How sample requirements are worked out explains the rules.
What if collected samples are not sent?
If samples have been collected but not marked as sent, the team members who handle samples are emailed, two hours after collection and again at six hours, and sooner for samples that keep for a shorter time. The reminders stop once the samples are marked as sent, the laboratory has them, or the order is cancelled. See labelling and sending samples.
What is the barcode on each sample?
The order’s own number. Placing an order issues one barcode, and a label carrying it is printed for each of the order’s samples, so every tube belongs plainly to the one order.
Where do the samples go?
To Doxtor’s partner laboratory. The order reaches it electronically, its address and packaging instructions are on every order, and its results come straight back onto the order.
Who collects the samples?
Your clinic does. Doxtor tells your team what to collect for each order, how to label it and where to send it. Doxtor does not send kits to patients’ homes.

Is the plain-English interpretation medical advice?
No. It is generated automatically from the results, labelled as being for information, and tells the patient to speak to your clinic or a healthcare professional. It is shown on Doxtor Pro.
What does a patient see when a result is outside the range?
The result, its reference range and a clear label saying it is outside the range, without alarm and without a diagnosis. The report points them to your clinic with questions.
What is in a Doxtor report?
Every report has a cover, the patient’s and order’s details, and a table of every result in the format used for medical review, with anything outside the range marked L or H. On Doxtor Pro, the full report adds a summary and each result explained and charted. Patients can download the same PDF their clinic keeps.

How do team members sign in?
At your clinic’s own Doxtor address. Everyone signs in as themselves and has a role that decides what they can see and do. Each person can add two-factor authentication, and your clinic’s owner or an admin can require it for the whole team. If you are not sure of your clinic’s address, find your clinic’s sign-in.
Where is clinic and patient data stored?
Clinic and patient information is stored in UK or European infrastructure. The privacy policy explains how information is handled and protected.
